Security deposits cause more desk fights than daily rates. The fix is not a sterner WhatsApp tone. It is separating the hold from the rental total, writing return conditions in the agreement, and recording every movement in one place both sides can see. When the customer returns late on a Sunday, you need numbers — not memory.
Hold versus rental total — keep them apart
The rental total is what they pay to use the car. The security deposit is money you hold against damage, fuel shortfall, traffic fines, or overtime. Mixing them into one “advance” in a notebook is how refunds turn into accusations.
On the booking, show three lines staff can read aloud: rental total, advance paid toward rent, security deposit held. What to write in the agreement before the car leaves
Customers argue with what was never said. Put the deposit amount in NPR, when it is due (usually before handover), what it covers, and how long you hold it after return for fine checks. Add that deductions need a short written note — photo of damage, fuel receipt, or fine screenshot.
This is operational clarity, not legal advice. If you need a lawyer-drafted contract for high-value fleets, get one. Most desks still improve overnight by printing the same four sentences on every handover sheet.
How much to hold without scaring good customers
There is no universal NPR figure. Common practice on tourist routes is a fixed hold per vehicle class, higher for newer cars and self-drive. The amount should hurt enough to deter casual abuse, not enough to kill the booking when a family is paying cash.
Be consistent inside a category. If one Alto is NPR 5,000 hold and another is NPR 15,000 with no reason on the listing, staff will negotiate ad hoc — and ad hoc becomes favouritism. Publish the hold on the package or vehicle page when you can.
Returning the deposit without a second argument
Return against a checklist: exterior photos, fuel level, belongings, overdue hours, unpaid extras. Record the refund method and date on the booking. If you deduct, write the reason in one sentence the next staff member can defend.
Partial returns are fine. “We are holding NPR X for 48 hours pending fine check” is better than silence. Silence is what fills Facebook comments.
Where desks lose the plot
Common failure modes: deposit taken in cash and never entered; deposit entered but returned from a different person’s pocket with no record; deposit treated as “extra profit” when the customer forgets to ask. The last one trains your market to distrust every rental desk in town.
Another trap: using the deposit to cover unpaid rent without saying so. If rent is unpaid, say rent is unpaid. Do not quietly rename money.
Photos beat adjectives
A deposit dispute ends faster with four corner photos at handover and return than with the word “scratched” in a chat. Store photos on the booking if your system allows attachments; otherwise keep a dated album named by plate and booking id.
Fuel level deserves the same treatment. “Full” means nothing without a gauge photo. Agree the unit (bars or litres estimate) in the handover line.
Self-drive vs with-driver
Self-drive usually needs a higher hold. With-driver jobs still need a deposit for overtime and customer-caused damage, but the conversation differs because your driver is a witness. Write both variants into the template so staff do not invent policy at the gate.
When the customer is a company
Corporate hires sometimes want invoices without a cash hold. That is a credit decision, not a deposit policy exception you invent at the gate. If you waive the hold, write who approved it and what substitute guarantee you accepted. Otherwise every friendly client becomes a precedent.
