Vehicle availability statuses
What available, booked, maintenance and sold mean, and which vehicles can be rented.
Updated
Every vehicle carries a status. It controls how staff can use the vehicle in bookings. On your public website, sold vehicles are hidden; booked and maintenance vehicles can still appear with their current status.
The four statuses
- Available — in service and bookable.
- Booked — committed to a rental.
- Maintenance — off the road, in for service or repair.
- Sold — no longer part of the fleet and hidden from the public catalogue.
Availability is per date range, not just a flag
This is the part that confuses people. When you pick dates on a booking, the vehicle list checks whether each vehicle is free for that specific window.
So a vehicle can be on rental today and still bookable for next month. If a vehicle cannot be selected, it may be committed across the dates you asked for — not necessarily busy right now.
See how to create a booking for where this appears.
Putting a vehicle into maintenance
Set a vehicle to maintenance when it goes off the road. Staff can still see it in the booking picker, but it is disabled so nobody promises it to a customer while it is in the workshop.
Remember to set it back to available when it returns. A vehicle left in maintenance cannot be selected for a booking.
Selling a vehicle
Use Mark as sold rather than deleting the vehicle. The dialog asks for:
- Sale rate — what you sold it for.
- Sold on — optional, defaults to today.
Rentrovia confirms with Vehicle marked as sold.
Selling keeps every past booking, expense and payment attached to the vehicle, so your historical reports stay correct. If a vehicle has left your fleet, mark it sold rather than deleting it.
