Extending an active rental

Push out the end date on a rental that is already running, and adjust the total to match the extra time.

When a customer keeps a vehicle longer than planned, extend the booking. Do not create a second one. Extending keeps the whole rental as a single record with one total.

The Extend button only appears on bookings that are Active. If the rental has not started yet, edit its dates instead. See booking statuses for which actions appear when.

Extending

Open the booking and choose Extend. The dialog header shows the booking number and its current end time.

Set the new end in whichever way is quicker:

  • Use a preset: +1h, +5h or +1 day. Each is measured from the booking's current end, not from now.
  • Or pick a date and time in New end date. It cannot be earlier than the current end.

How the new total is worked out

Rentrovia charges the extra time at the booking's existing rate and suggests a new total. The Adjusted total field is labelled with that suggestion. You can type over it. The figure you save is the one that counts.

Two details affect the number you see:

  • Extra time is rounded up to the next whole unit. On a daily booking, three extra hours is charged as a full day.
  • A percentage discount applies to the added amount too. A flat discount does not. A flat discount was a one-off against the original booking, so re-applying it to every extension would give the discount away again and again.

The summary at the bottom shows four lines before you commit: Current end, New end, Added amount and New total.

Check these rather than the field labels. They reflect exactly what is about to be saved.

Add a note if the reason is worth recording, then choose Extend. Rentrovia confirms with Booking extended.

After extending

The booking stays Active with its new end date. The vehicle stays committed for the longer window.

If another booking was due to start on that vehicle in the meantime, deal with that separately. Extending does not move anyone else's booking. One option is to swap the other customer onto a different vehicle.

You can extend the same booking more than once. Each extension is calculated from the end date at that moment, so repeated extensions add up correctly.

When the vehicle finally comes back, end the rental to close it.
