Create an invoice from a booking
Turn a booking into a customer invoice pre-filled with rental totals, then download a PDF.
Updated
Open the booking and choose Create invoice from the More actions menu, or use Create on the booking's Invoices card.
Rentrovia opens a form pre-filled from that booking. You can also reach the list from Billing → Invoices, though new invoices are always started from a booking today.
What is pre-filled
The dialog shows From booking with the booking number, plus read-only Customer and Vehicle blocks.
The line uses a description like vehicle rental with dates. Unit price comes from the booking's adjusted total if one exists, otherwise the standard total.
Currency matches the booking. If you changed the rental total after discounts or extensions, check the preview before saving.
Fields you can change
- Description, Quantity, Unit price, Line discount
- Due date and Purchase order
- Tax amount and Invoice discount
- Notes (visible on invoice)
A Preview block shows Subtotal, Discount, Tax and Total before you save.
Save and find the invoice
Choose Create invoice. Rentrovia confirms with Draft invoice created and opens the invoice detail.
The detail page shows the invoice number, status badge, and dates for Issued, Due and Paid.
Every invoice also appears under Billing → Invoices. Filter the list by status or search by number. Use Download PDF on the detail page to share it.
Important caveats
The invoice is saved as Draft. The tenant app does not currently show Issue or Mark paid buttons. See invoice statuses explained.
Booking Payments and customer invoices are separate. Recording a payment on the booking does not change invoice status.
You cannot delete a booking while it has linked invoices. Remove or resolve those invoices first.
Creating invoices needs the Create invoices permission. Default Staff can view invoices but not create them. See adding your team.
Next: record booking payments and refunds, or how to create a booking if you are starting from scratch.
